1. Service Description & Scope
Cabintale is a software-as-a-service (SaaS) platform designed exclusively for the management of accommodation bookings and time-based service reservations. The platform enables property owners to manage availability calendars, accept direct bookings, synchronize with third-party booking channels, and offer ancillary services such as wellness, guided tours, and equipment rental. Cabintale is not a payment processor, travel agency, or property management company. We provide the technology; you manage your business.
2. Acceptable Use
By creating a Cabintale account, you agree to use the platform solely for its intended purpose:
- Managing bookings for legitimate accommodation properties (cabins, cottages, apartments, guesthouses, and similar short-term rental units)
- Managing reservations for legitimate time-based services (wellness, tours, rentals, activities, and similar hospitality services)
- Synchronizing availability with recognized booking platforms via iCal or similar protocols
- Communicating with guests in connection with confirmed or pending reservations
3. Prohibited Activities
You may not use Cabintale for any purpose that is unlawful, fraudulent, or harmful. Specifically, you are prohibited from:
- Listing or managing properties or services that you do not own or have legal authority to operate
- Using the platform to facilitate illegal activities, including but not limited to unlicensed accommodation, money laundering, tax evasion, or any activity that violates applicable local, national, or EU law
- Misrepresenting the nature, location, or condition of listed properties or services
- Using the platform to collect personal data for purposes unrelated to booking management (e.g., marketing databases, data resale, profiling)
- Attempting to disrupt, reverse-engineer, or gain unauthorized access to Cabintale systems, APIs, or other users' data
- Engaging in any activity that could damage the reputation of Cabintale or its users
4. Account Suspension & Termination
Cabintale reserves the right to suspend or permanently terminate any account, without prior notice, if we reasonably believe the account is being used in violation of these Terms of Service, applicable law, or in a manner that poses risk to other users or to the platform. In the event of termination: all associated data (including property listings, bookings, and guest information) may be permanently deleted; access to the admin dashboard will be revoked immediately; no refund will be issued for any prepaid subscription period. We may also report suspected illegal activity to the relevant authorities. You may appeal a suspension by contacting support@cabintale.com within 14 days.
5. Limitation of Liability
Cabintale provides the platform on an 'as is' basis. We do not guarantee uninterrupted availability, error-free operation, or the accuracy of data synchronized from third-party platforms. Cabintale is not liable for any losses arising from booking disputes between you and your guests, third-party platform outages or sync delays, misuse of the platform by account holders, or loss of data beyond what is covered by our standard backup policy. Our total liability to you shall not exceed the amount you paid for Cabintale services in the 12 months preceding the event giving rise to the claim.
6. Changes to These Terms
We may update these Terms of Service from time to time. Material changes will be communicated via email at least 30 days before they take effect. Continued use of the platform after the effective date constitutes acceptance of the updated terms. If you disagree with any changes, you may close your account at any time through the admin dashboard or by contacting support.
Privacy Policy

2.1 Introduction
Cabintale.com is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal data. We comply with GDPR, Czech Republic's Personal Data Processing Act, and all applicable data protection laws.
As a SaaS provider, we act as a Data Controller for your account data, and as a Data Processor for your customers' data.
2.2 Who We Are

2.3 What We Collect
Your account data: Name, email, hashed password, account settings, billing records.
Your customers' data: Guest names, emails, phone numbers, booking details — processed only according to your instructions.
Payment data: We store transaction references and invoice amounts only. Credit card numbers, CVVs, and bank details are never stored — payment processing is handled by third-party providers.
Technical data: IP address, browser type, pages visited (marketing site). IP and login timestamps (dashboard, for security only).
2.4 How We Use Your Data
Account management, service delivery, billing, security, and legal compliance. Your customers' data is processed exclusively for facilitating bookings. We do not use guest data for marketing, profiling, or sharing with third parties.
2.5 Data Sharing
We share data only with your consent, as required by law, or with essential service providers (hosting, payment processing, email delivery). All providers are contractually required to comply with GDPR.
2.6 Data Retention
Active account data is retained while your account exists. Upon deletion, all data is permanently removed within 7 business days. Billing records are retained up to 6 years for tax compliance. Backups are purged within 30 days.
2.7 Your Rights
Under GDPR you have the right to access, rectification, erasure, restriction, portability, objection, and withdrawal of consent. Contact support@cabintale.com — response within 30 days.
2.8 Data Security
HTTPS/TLS encryption in transit, encryption at rest, secure password hashing, access controls, regular security audits, and incident response procedures.
2.9 International Transfers
All data is processed within the EEA. No transfers outside the EEA without your explicit authorization and appropriate safeguards.
2.10 Changes
We notify you of material changes via email. Changes become effective 30 days after notification.
GDPR Terms

3.1 Roles
Your account data: Cabintale is the Data Controller.
Your customers' data: You are the Data Controller. Cabintale is the Data Processor acting on your instructions.
3.2 Data Processing Agreement
By using Cabintale, you accept our standard DPA under GDPR Article 28. We process guest data exclusively to facilitate bookings, maintain security, restrict access, delete on request, and assist with data subject requests.
3.3 Sub-Processors
We engage sub-processors for hosting, payment processing, and email delivery. All are contractually required to meet GDPR standards. You are notified 30 days before new sub-processors are engaged.
3.4 Breach Notification
We notify you within 24 hours of discovering a breach affecting your customer data, including description, data affected, consequences, and measures taken.
3.5 Data Protection by Design
Data minimization, purpose limitation, retention limitation, encryption, access controls, transparency, and security by default.
3.6 Governing Law
EU GDPR, Czech Republic Personal Data Processing Act (Act No. 110/2019), Czech Electronic Communications Act. Disputes overseen by the Office for Personal Data Protection (UOOU). www.uoou.cz
